Friday, 6:15 p.m. I was closing a PO log when the phone rang.
“Sub’s dead at the hotel. We need a replacement on site tomorrow.”
That call lands on my desk because I’m the procurement manager at a 24-person AV rental and installation company. I don’t mix shows and I don’t carry loudspeakers. I approve the purchase orders for a roughly $350,000 annual procurement budget, and I read the invoices after the drama settles. For the past six years, I’ve logged every service ticket in one spreadsheet, including the notes we don’t put in customer reports.
That Friday, the “dead” sub was a QSC KS118, part of an install we’d finished about eleven months earlier. The account manager approved a replacement unit on the spot. The decision produced:
- $89 in overnight freight.
- Two technicians sent to pull and reinstall it ($380 in labor).
- A “dead” subwoofer sitting in our shop for three days.

Compact powered subs are a legitimate procurement solution for acoustic acts, speech events, and small venues where weight and storage matter. Something like QSC’s KS112 fits that role well. The mistake is expecting a mini sub to behave like an 18-inch box. A small sub driven into limiting for hours isn’t a bargain. It’s a future driver-replacement invoice.

Part of this confusion shows up in the power amplifier market share conversation. The headline every year seems to be about Class-D efficiency and how many watts fit into a small module. That makes amplifier power look like a commodity. It isn’t. When you buy a modern powered subwoofer, you’re buying the amplifier, the DSP, the limiter, and the protection circuits as one engineered package.
What this actually costs
If this sounds like a tech problem, look at the invoice trail instead:
- Rush freight for “defective” speakers that tested fine at the bench: over $1,000 in 2024 alone.
- Overtime labor for emergency calls that a ten-minute signal check would have prevented.
- An 18-inch sub sitting in a conference room while a music venue two blocks away rents a sub at retail because ours is in the wrong building.
None of those costs appear on the original equipment PO. They hide in freight line items, labor codes, and the miscellaneous column.
After that $89 crate, we changed the policy. Any sub flagged “dead” gets a ten-minute bench test before a replacement is ordered. If no fault is found, we review the console file, the DSP settings, and the signal routing before touching the client’s wallet. What I’d tell another procurement manager
Buy for the event you actually have, not the spec sheet you hope to need. If your typical job is a band in a 400-capacity room or anything outdoors, an 18-inch powered QSC sub is a defensible purchase. If your typical job is a conference, ceremony, or acoustic set in a small room, a compact active sub will save you real money in freight, storage, and labor.
And remember: QSC models don’t all share the same I/O layout. The connection panel on a KS118 isn’t identical to older KW-series cabinets. QSC publishes the full manual and datasheets on qsc.com, and I’ve learned to check those pages before promising a crew that “it’s the same as last time.” It often isn’t.
That $89 crate still sits near our loading bay door. It’s not decoration. Most budget leaks in professional audio don’t happen on the purchase order. They happen in the space between the console output and the speaker input, where assumptions live.
Fix the assumptions, and you won’t need to replace the sub. Cheaper, and a lot easier to ship.
